Privacy Policy – RSL Time

Retail Solutions Ltd. (“Retail Solutions Ltd.”, “we”, “us”, or “our”) respects the privacy of users of RSL Time.
This Privacy Policy explains how RSL Time collects, uses, stores, processes, and protects information when the application is connected to QuickBooks Online or used for task and time management.
RSL Time is developed and operated by Retail Solutions Ltd., Barbados.
1. Information RSL Time May Access
When you connect RSL Time to QuickBooks Online, the application may access information required to provide its intended functionality, including:

QuickBooks company identification

Customer names and QuickBooks customer identifiers

Employees and vendors used as time workers

Products and service items
-
Time Activities
-
Task-related information

QuickBooks record identifiers

Synchronization status and related technical information
RSL Time does not require users to provide their QuickBooks password directly to the application.
QuickBooks authorization is handled through Intuit's OAuth authorization process.
2. Information Created Within RSL Time
RSL Time may store information entered or generated through the application, including:

Customer assignments

Task names

Task descriptions and notes

Due dates

Billable status

Service selections

Time entries

Timer start and stop information

Synchronization status

QuickBooks identifiers associated with synchronized records
This information is used to provide task management, time tracking, synchronization, and QuickBooks integration features.
3. How We Use Information
Information processed by RSL Time is used to:

Display QuickBooks customers, workers, and service items

Create and manage tasks

Track time

Create manual time entries

Synchronize tasks between authorized devices

Upload Time Activities to QuickBooks Online

Verify that uploaded QuickBooks records were created successfully

Maintain the user's authorized QuickBooks connection

Retail Solutions Ltd. does not sell information obtained through RSL Time.
4. QuickBooks Online Authorization
RSL Time uses Intuit's OAuth authorization process to connect to QuickBooks Online.
Authentication tokens used to maintain this connection are processed by the RSL Time backend.
QuickBooks OAuth tokens are not intentionally stored as plain-text credentials inside the RSL Time iPhone or Mac applications.
Authorization information stored by the RSL Time backend is protected using security measures designed to reduce unauthorized access.
5. Data Storage
RSL Time uses a combination of local device storage and secure backend storage.
On-device information
Information may be stored locally on an authorized device, including:

Customers

Tasks

Time entries

Service information

Worker information

Synchronization information

Application preferences
Security-sensitive application credentials may be stored using Apple's Keychain services where appropriate.
Backend information
The RSL Time backend may store information necessary to:

Maintain QuickBooks authorization

Associate authorized devices with a QuickBooks company

Synchronize tasks between devices

Maintain synchronization state

Protect against duplicate uploads

Support application operation
Backend data may be stored using cloud-hosted infrastructure and databases used by Retail Solutions Ltd.
6. Task Synchronization
RSL Time may synchronize tasks between authorized devices.
For example, a task created using the RSL Time Mac application may be stored by the RSL Time backend and made available to an authorized RSL Time iPhone connected to the same QuickBooks company.
This functionality requires limited task and company-identification information to be processed by the backend.
7. Data Shared With QuickBooks Online
RSL Time sends information to QuickBooks Online only when required to perform an authorized function.
This may include:

Time Activity information

Customer references
-
Employee or vendor references
-
Service-item references
-
Dates
-
Duration
-
Billable status
-
Related notes or descriptions
Information sent to QuickBooks Online is also subject to Intuit's applicable privacy policies and terms.
8. Third-Party Service Providers
RSL Time may rely on third-party services to operate its infrastructure.
These may include:

Intuit QuickBooks Online

Apple platforms and services
-
Cloud hosting providers

Database providers
-
Internet and network service providers
These providers may process limited information necessary to provide their services.
Retail Solutions Ltd. does not authorize third-party infrastructure providers to use RSL Time business data for their own independent marketing purposes.
9. Data Security
Retail Solutions Ltd. uses reasonable administrative and technical safeguards intended to protect information processed by RSL Time.
These safeguards may include:

HTTPS encryption for communications

OAuth-based QuickBooks authorization

Encrypted storage of QuickBooks authorization tokens

Secure application credentials

Apple Keychain storage for sensitive local credentials

Access controls

Separation of development and production environments

No electronic storage or transmission system can be guaranteed to be completely secure.
10. QuickBooks Sandbox and Production Environments
Retail Solutions Ltd. may maintain separate QuickBooks Sandbox and Production environments.
Sandbox environments are used for application testing and development.
Production environments are used for authorized access to live QuickBooks company data.
Retail Solutions Ltd. takes reasonable steps to keep Sandbox and Production credentials and databases separate.
11. Data Retention
RSL Time retains information only for as long as reasonably necessary to provide its functionality, maintain synchronization, meet operational requirements, or comply with applicable legal obligations.
Locally stored information may remain on a device until:

it is removed by the application,
-
the user deletes relevant records,
-
application data is reset, or
-
the application is removed.
Backend authorization and synchronization information may remain until the QuickBooks connection is disconnected, revoked, deleted, or otherwise no longer required.
12. Disconnecting QuickBooks
Users may disconnect RSL Time from QuickBooks Online.
When a QuickBooks connection is disconnected, RSL Time may:

Revoke the associated QuickBooks authorization where supported

Remove stored QuickBooks authorization tokens
-
Stop accessing the connected QuickBooks company
-
Remove or disable backend connection information associated with that authorization
Some locally stored business records may remain on the authorized device unless separately deleted.
13. Data Deletion Requests
Authorized users may request deletion of information stored by the RSL Time backend where applicable.
Requests should identify the QuickBooks company or RSL Time installation involved so that Retail Solutions Ltd. can locate the relevant information.
Requests may be submitted using the contact information provided below.
Information may be retained where required by law, necessary for security or fraud prevention, or required to resolve an active technical or business issue.
14. Children's Privacy
RSL Time is a business productivity application and is not intended for children.
Retail Solutions Ltd. does not knowingly design RSL Time to collect personal information from children.
15. International Processing
RSL Time may use cloud services whose infrastructure is located outside Barbados.
As a result, information may be processed or stored in countries other than the user's location.
Retail Solutions Ltd. takes reasonable measures to ensure that information is handled consistently with this Privacy Policy.
16. Changes to This Privacy Policy
Retail Solutions Ltd. may update this Privacy Policy when:

RSL Time functionality changes

QuickBooks integration requirements change

Security practices change

Infrastructure providers change

Applicable legal or regulatory requirements change
The effective date at the top of this Privacy Policy will be updated when material changes are made.
